LICENSE OPTIMIZATION CASE STUDY – SYMANTEC ENTERPRISE SOFTWARE

Client Profile:

A large European automotive company wanted to optimize its Symantec/Veritas position.

Situation:

Our client was concerned its departments were not using licenses efficiently. They wanted to reduce software spending by optimizing their software assets across their four business units.

Action:

Proteam started by analyzing their contracts, excel spreadsheets, multiple scanned invoices, Install Base Report (IBR) and License Administration Management Portal (LAMP) entitlement reports. The user requirements (installations) for each business unit were identified and compared with the available license pool.

Results:

Within 8 weeks, we helped our client establish a clear road map which would help them recognize over €420,000 in savings. As a result, our client contracted us to manage and optimize their Symantec environment twice every year

PROACTIVE BASELINING CASE STUDY – MICROSOFT ENTERPRISE SOFTWARE

Client Profile:

A large bank in North America, with more than 12,000 servers and 67,000 workstations.

Situation:

Our client elected to be proactive and brought us in to conduct a software baseline of Microsoft deployments, ahead of their enterprise agreement (EA) true-up cycle. Their IT & Procurement was completely decentralized. Also, they had security concerns on sharing data for certain environments within their organization.

Action:

Proteam started by analyzing their contracts, excel spreadsheets, multiple scanned invoices, Install Base Report (IBR) and License Administration Management Portal (LAMP) entitlement reports. The user requirements (installations) for each business unit were identified and compared with the available license pool.

Results:
  • Our baseline efforts identified $23M in unnecessary license risk. Of the $23M, our customer elected to remediate $3M immediately.
  • Our baselining also identified 8 software products critically out of support with more than 5,000 installs enterprise wide. These 8 products were identified for patch/product upgrades/migration. High client satisfaction levels resulting in additional baseline and process optimization opportunities.

AUDIT DEFENSE CASE STUDY – IBM ENTERPRISE SOFTWARE

Client Profile:

A leading U.S. Multinational Investment Banking and Financial Services Corporation with over 300,000 employees, over 2 Million affiliates, and over 330 Million customers worldwide.

Situation:

Our client was being audited by IBM, wherein non-compliance software violations had been reported. After five-months of failed attempts to defend themselves, our client brought our experts in to assist with the IBM audit in the area of Enterprise Content Management.

Action:

After interviewing key stakeholders, we assessed our client’s software environment using our proprietary formula. We compared our assessment with KPMG’s and quickly recognized that the licensing metrics used to derive the non-compliance findings conflicted with the methodology outlined in our client’s then current contract. At the client’s request, we engaged directly with the auditors to negotiate a resolution.

Results:

Within 8-weeks after engaging, we were able to negotiate over $40,000,000 in immediate bottom-line cost savings for our client.

LICENSE OPTIMIZATION CASE STUDY – IBM ENTERPRISE CONTENT MANAGEMENT (ECM)

Client Profile:

Our client had purchased its IBM software licenses at the departmental-level over a 10-15 year period. Now, after several mergers and acquisitions, due to departmental contract restrictions, our client found themselves between a rock and a hard place. As such, their contract experts and legal team engaged directly with IBM to resolve these challenges. Frustratingly, after a 2-3 year period, their team’s efforts still had not produced the desired results. Not being satisfied with IBM’s recommended solution, they elected to bring our License Optimization experts in to assist.

Situation:

After understanding, we used our expertise to help them derive a solution that would not only resolve the departmental restrictions challenge, but also allow us to optimize their licenses across the enterprise.

Within 4-months after officially engaging us, our License Optimization experts were able to help them save over $100,000,000

AUDIT DEFENCE CASE STUDY - IBM ENTERPRISE SOFTWARE

Client Profile:

A leading intellectual property management company in the UK with global presence.

Situation:

Our client, was being audited by IBM. Our client wasn’t familiar with complex licensing rules and felt helpless. They needed licensing experts to help them understand their position, optimize license usage and negotiate with the vendor.

Action:

Proteam was able to scan their entire network and generate an inventory of IBM installations. In less than a week, we compiled an inventory of software installations and corresponding hardware information after taking into account bundling and other relevant licensing rules. In parallel, Proteam analyzed their software contracts and IBM’s data to create an accurate list of entitlements. We uncovered a few discrepancies and proposed usage and optimization techniques that rendered our client compliant and saved them money.

Results:
  • Proteam was immediately (in <2 weeks) able to save more than £1,000,000 from the audit defense work alone.
  • We also suggested optimization techniques for future that would save millions to our client.

LICENSE OPTIMIZATION CASE STUDY –JD EDWARDS ENTERPRISEONE

Client Profile:

Large US commercial real estate management firm with multiple subsidiaries and affiliates.

Situation:

Our client had a mature deployment of an industry leading ERP solution that run most of their enterprise financial solutions. The installation was in use for more than 15 years. During the course of this time, the organization grew significantly, both organically and through acquisitions. They also divested parts of the business to operate as stand-alone organizations under the same parent group.

Over time, the reorganization over time resulted in lack of clarity on the consumption of the software and inadequate controls on cost allocations. Proteam was brought to help review the software consumption and optimize the usage and tracking processes.

Action:

Proteam did a deep dive analysis of all the historic agreements that the client entered into with the vendor. Our knowledge of the contract evolution of the software publisher helped unearth critical documentation limitations.

Also, we analyzed the software consumption across the subsidiaries and affiliates of organization using customized tools. Our analysis revealed potential future cost savings and we designed a framework to track and realize these savings.

Results:
  • Identified financial risk of ~$1.5M risk on account of improper management of the contracts, resulting in advertent but unauthorized use of software. We helped our client proactively remediate the situation by helping renegotiate changes to their license agreements
  • Identified underutilization of software entitlements, for applications no longer used by some of the group companies. We helped re-harvest the unused applications resulting in recurring saving of ~$0.4M annually.
  • Implemented mechanism for accurate tracking of the software consumption and allocation of the costs across the appropriate cost center/profit center.

LICENSE OPTIMIZATION CASE STUDY – MAXIMO

Client Profile:

A multinational utility company with >150,000 employees and >5000 Maximo users, operating in the fields of electricity generation and distribution, natural gas and renewable energy.

Situation:

Our client engaged us to proactively review their Maximo Asset Management deployment and identify optimization opportunities.

Maximo was their primary asset management solution. The deployment was complex and covered over 90% of their assets. Moreover, Maximo was integrated with several third party software, including their ERP solution. Almost all their IT users had access to the platform.

Action:

We started by understanding our client’s complex Maximo deployment and its integration across their organization. Thereafter, we analyzed Maximo deployments by generating a variety of consumption reports. Our analysis revealed several issues in access configuration and integration with other solutions.

Results:

Within 3 months, we identified and provided a detailed road map for over $4.5M in savings due to improper access configuration and inadequate controls over third party software integrations.
